This is a permanent, full-time position, working on a 5:2 Roster located in Greenbushes.

 

About the Role

We are seeking a highly motivated well organised Administrative Assistant to join our team. In this fast-paced administrative role, you will provide comprehensive support to ensure the smooth operation of daily office functions. You’ll work closely with various teams, manage a range of tasks, and help maintain efficient systems and procedures, all while supporting a team that’s always on the go. Your ability to juggle multiple responsibilities while maintaining a calm and efficient approach will be key to your success. We’re looking for a proactive individual who is ready to contribute, learn, and grow within a positive and supportive work culture.

 

Key responsibilities include:

 

  • raise purchase requisitions as required
  • review, update, and format documents and checklists
  • enter data into registers, such as Task Observations
  • organise and assist with onsite visits as needed
  • file and archive documents as required
  • arrange accommodation for crew members, visitors, and contractors
  • assist with onboarding and site access requirements
  • support shared office duties as requested
  • oversee the setup of meeting rooms with catering and equipment needs
  • print workbooks for the weekly schedule
  • scan and file work orders as required
  • enter contractor work order time entries as needed
  • manage hire equipment payments
  • oversee vehicle licensing, fuel reports, and vehicle management
  • attend meetings and take minutes for distribution and
  • ensure all end-of-month activities are completed

 

About the Candidate

The ideal candidate will be a proactive and detail-oriented individual with a strong administrative background. You will need to manage multiple tasks efficiently while demonstrating excellent interpersonal communication skills. The role requires someone who can work well independently and within a team.

 

Key Qualifications and Skills:

  • Certificate III in Business Administration (desirable)
  • minimum of 3-5 years of relevant experience in an administrative function
  • highly developed interpersonal and communication skills
  • strong ability to prioritise and manage multiple tasks
  • proficient in Microsoft Office suite
  • ability to determine and set priorities effectively and
  • strong literacy and numeracy skills at an upper secondary level

 

Competencies:

•  Competency in First Aid (desirable).

•  Current ‘C’ class driver’s licence
